Rambling Van Terms and conditions

 

 

Drivers 
The Insured Vehicle shall not be let out on hire to or be driven by:
a) Hirers under 23 or over 75 years of age unless otherwise agreed by the Insurer.
b) Hirers aged 23 or over unless a full valid UK/EU driving licence has been held for 24 months.
c) Persons who have been convicted of an offence in connection with the driving of a motor vehicle or motorcycle and/or have had their driving licence endorsed or suspended or penalty points imposed. Parking and not more than two speeding offences in the past 3 years may be ignored. 
d) Persons who have had their licence revoked by DVLA due to medical grounds or convictions.
e) Persons who have had their insurance declined and/or renewal refused and/or special insurance terms imposed as a result of claims experience and/or have had their insurance or cover cancelled by any Motor Insurer.
f) Persons who, whilst driving, have been involved in more than one accident during the past 3 years.

Please note that if any of the above applies to any proposed driver of the vehicle, this may prohibit you from hiring the campervan. For insurance purposes you must declare ANY endorsements or motoring accidents. 
The campervan shall be driven only by the hirer or other permitted driver who has completed and signed the Hire agreement immediately prior to any hiring and has provided all the required identification. 
The Insured vehicle shall not be used for the carriage of goods of an explosive, dangerous or hazardous nature or for the carriage of goods or passengers for hire and reward or any other form of profit or remuneration.

Driver Identification

Before you collect the campervan, please send through the information as below. Rambling Van cannot be held responsible for any lost holiday time as a result of you forgetting to send the correct documentation.
All drivers must provide the following:

 

  1. License Check Code- UK license holders only.  Non-UK Drivers must provide a passport in place of the drivers check code. 
  • Each UK driver must either bring with them or send in advance their license check code. Go to: https://www.gov.uk/view-driving-licence
  • You will need your driving license number, National Insurance number and the post code where your license is registered. 
  • Save code and email it to info@ramblingvan.co.uk
  • Date the code is created must be within 21 days of the hire dates
  1. Driving License

The address on the driving license MUST match the address on the proof of address provided otherwise insurance will be invalid and hire may be refused.

  1. Two Forms of Proof of Address

The following documents are acceptable; they must have been issued within the 90 days prior (unless yearly accepted) to the hire dates.

  • Utility bills, including water, gas, electric
  • Bank statement
  • Council tax bills (yearly accepted)
  • TV/internet/telephone bill (Sky/Virgin/BT etc)
  • Credit card bill
  • Mortgage statement (yearly accepted) 
  • Polling card
  • TV license
  • HMRC self-assessment / tax credit / DWP

 

If you are paperless, statements can be downloaded from online accounts, screen grabbed and forwarded to us at info@ramblingvan.co.uk

The name and address must match those on the driver’s license.


Payment 
Availability is on a request and confirmation basis at the time of your reservation. A reservation is only binding once the booking is confirmed by Rambling Van. Bookings will be confirmed either by our online booking system or via email with the attachment of a booking confirmation. A deposit is required to secure the booking. This will amount to be either £100 or 20% of the hire amount whichever is the greatest. Settlement of the remaining balance will be due 3 weeks (21 days) prior to departure. Payment is taken by a scheduled card transaction if using the booking system or bank transfer or pay pal transaction. Vehicles will not be released without full payment being completed.

 

 

Cancellations (Applies to all bookings made after the 26th Jan 2022)

All cancellations will be subject to a £25 admin fee. 

Standard Cancellation policy:

  • 30 days before booking – Full refund issued (less admin fee)
  • 14-30 days before booking – Booking deposit is non-refundable
  • 14 days or less before booking – No refund (unless the dates can be filled with a hire of the same value)

Covid 19 Cancellation policy - if the cancellation is COVID related:

  • 30 days before booking – Full refund issued (less £25 admin fee)
  • 14-30 days before booking – Booking deposit will be issued as credit.
  • 14 days or less before booking – Full hire cost will be issued as credit

 

Covid 19 Cancellation Circumstances:

  • You or a member of your party has a positive covid test. (PCR test confirmation required)
  • National lockdown
  • Local lockdowns in your home location (UK only)
  • Local lockdowns in Bristol (the pick-up location)

You will not be covered by the Covid 19 Cancellation Policy and the Standard cancellation policy will apply for the following reasons

  • Local lockdown in the destination you intended to travel to (consider holidaying in another location)
  • Event cancelled or postponed (consider using hire dates for another purpose)
  • You are travelling from outside of the UK
  • If EU travel is restricted and you intended to go to Europe (please consider a holiday in the UK instead)

 

The security deposit is 100% refundable.

We advise all hirers to take out their own holiday insurance to cover any eventualities. There will be no refund in the event of early return e.g. illness, accident.

 

Insurance and Insurance Excess 
The hirer is responsible for a standard excess of £500 in the event of any damage to the vehicle or third-party property, fire or theft, the hirer will be liable for the excess. The hirer will also be fully liable for replacement or repair of wing mirror windscreen or tyre damage.

Excess insurance can be taken out by a third-party provider. This is at the hirer’s discretion.


Please note that the campervan is not insured outside the contract of hire.

Security Deposit 
A security deposit of £500 will be taken proceeding the hire. 

The security deposit will be used to pay for any damage that occurs to the camper during your hire period.

This will be charged to the customers card at a scheduled date before the reservation where this is not possible the customer will provide a bank transfer or PayPal payment of the same value. This will be refunded within 7 working days of the end of rental period so long as the terms of the rental are met, subject to final audit. These terms are:

Campervan returned with a full tank of diesel Campervan interior is clean and in the same or near as possible to the condition as when rented out. Cooking appliances and utensils clean for use.  Campervan is returned by the agreed time 

All equipment provided to use is returned with the campervan free from unreasonable damage. Should any of the above exceed the security deposit the hirer will be responsible in settling the additional costs, similarly if any damages do not exceed the security deposit Rambling Van will only charge for the necessary amount. 

Fines and Liability 
Drivers are responsible for any penalties such as parking fines and speeding tickets during the hire period. 

A £50 admin fee will also be charged in addition to the cost of any damage repair carried out on the campervan.

A late charge of £50 per hour will apply if the campervan is brought back after the agreed time.

A cleaning fee of £50 will be charged if the interior of camper is not retuned in near or the same condition that it went out.

A £100 cleaning fee will be charged if the chemical toilet is not returned completely clean.

Checking in and out procedure
On collection of the campervan we will jointly inspect the van’s condition and sign out the campervan. On return of the campervan, the camper will be inspected to ensure the campervan is in the same condition as it was at the beginning of the hire period. If we are not present on campervan return the hirer be asked to take 5 photos of the camper. Front, back, left and right sides of the vehicle and 1 interior shot. To show it has been returned undamaged. The Keys to the camper will be posted through the letterbox of 97 Stonebridge Park. 

Rambling van have off-road parking for your car. However, please note we do not hold any liability for your vehicle whilst parked on our premises. Pick up is at 14.00 on the first day of the hire and drop off is at 12 midday on the last day of the hire unless otherwise arranged. A fee of £50 per hour will be applied for late return of the campervan.
 

Breakdown/Accidents/Incidents
In the event of the campervan breaking down and being un-driveable, we will provide you with details for contacting breakdown assistance, who will attempt to fix the vehicle or take you back to the camp/recovery or back to us. The hirer must also contact rambling van immediately who will aid and assist as far as reasonably possible. In the case of you being without the campervan, you will be refunded on a pro-rata basis. We cannot accept responsibility for missed functions due to breakdown and we cannot be held responsible for adverse weather conditions affecting any hire. 

Unforeseen Cancellation
In the unfortunate event that the campervan is damaged, un-driveable or stolen and we unable to provide a replacement vehicle, a full refund of all monies paid will be given. We are unable to accept responsibility for missed functions or other commitments such as campsite bookings due to a breakdown or theft of the hired vehicle.  We cannot be held responsible for adverse weather conditions affecting any hire.     

Personal Travel Insurance
It is the hirer’s responsibility to provide their own insurance to cover personal items and belongings and personal injury in the event of an accident.

Rental restrictions

  • Smoking is strictly not permitted inside the campervan
  • The maximum number of passengers is 5 for the VW T5 (Alba) and 4 for the Citroen Relay (Bertha)
  • The hirer must not leave keys in the ignition or anywhere in view to prevent theft
  • The hirer will be responsible for loss of keys
  • The hirer will be responsible for using the correct fuel (diesel) and will incur any costs to rectify
  • The driver must not drive the campervan off public roads and only drive on sealed / bitumen roads / camp sites. Rambling Van reserves the right to restrict vehicle movements in certain areas due to adverse road or weather conditions or any other reasonable cause.
  • Theft of the campervan or equipment must be reported to the police and Rambling Van Campervan Hire immediately


Use of the Vehicle
The Vehicle is not to be driven otherwise than in a cautious, prudent and normal manner; used in a manner which could cause damage; driven in a prohibited area or in an area other than the areas indicated to me by Rambling Van Campervan Hire; driven by a person under the influence of alcohol or drugs or with a blood alcohol level in excess of that permitted by law; left with the ignition key in the vehicle while it is unoccupied; valuables concealed; driven by persons under the age of 23 years or who is not authorised by law to drive the Vehicle or named in the agreement; damaged by submersion in water; put into contact with Salt Water; used for any illegal purpose for any race, rally or contest; used to tow any vehicle or trailer; used to carry passengers or property for hire or reward; used to carry more persons than is permitted by any relevant authority or detailed in the Vehicle manual or on the Vehicle or specified in this agreement; used to carry volatile liquids, gases, explosives or other corrosive or inflammable material; or otherwise used in breach of the Hirers obligations under this Agreement. The hirer also agrees not to carry more passengers than the seating capacity.

The Hirer will pay Rambling Van the following
All rental charges; there may be a cleaning fee of £50 if the Vehicle is not returned with the interior in a near to the same condition it went out, the cost of any damage to the Vehicle or the property of any third party, subject to the insurance cover. All government fees and duties etc; All parking fines, other fines or penalties, and/or accidents including third party property damage not reported on return of the Vehicle; and associated administration costs incurred in relation to the Vehicle during the Rental Period; Any other fees or charges payable by the Hirer pursuant to this Agreement. This includes any costs incurred by Rambling Van as a result of any breach by the Hirer of the terms of this Agreement. The cost of recovering a Vehicle that has become bogged.


Maintenance
The Hirer shall take all reasonable steps to properly care for the Vehicle. Rambling Van will only send the campervan off with the oil and water levels, and tyres and batteries checked. The Hirer will stop and react to any dash warning lights. In the event of any problems please contact us


Responsibility if an accident occurs
In the event of any accident, loss or damage arising out of the use of the vehicle, the Hirer will notify Rambling Van, obtain the names and addresses of third parties and any witnesses and report the event to the nearest police station. The Hirer undertakes to Rambling Van Campervan Hire in handling any claim arising from any event, including providing all relevant information and attending Court to give evidence. The hirer is responsible for any damage that occurs to the camper during their hire period including the loss or damage to a wing mirror.

Release and indemnity of Rambling Van Campervan Hire
Subject to its obligation to deliver the Vehicle or an appropriate substitute vehicle, the Hirer releases Rambling Van from any liability to the Hirer (regardless of who is at fault) for any loss or damage incurred by the Hirer by reason of this Agreement, including but not limited to any loss or damage caused by breakdown, mechanical defect, accident or the Vehicle being unsuitable for the hirer's purpose, any loss or damage to any property left in or on the Vehicle or in any service vehicle. Subject to any insurance arrangements agreed with Rambling Van, the Hirer hereby indemnifies and shall keep indemnified Rambling Van, its employees and agents against any claims, demands and expenses (including legal costs) incurred or sustained by them or any of them by reason of the hirer's use and/or possession of the Vehicle.

Privacy Policy
We will not share any of your personal details with any 3rd parties. We will store your personal details in a locked filling cabernet for up to 3 months in the event that any fines speeding or parking have been incurred during the hirers lease period. We will inform the hirer and then hand the managing of paying these fees over to the hirer. In the event that a fine is not paid or we have not been informed of a challenge we will charge the hirer a £25 admin fee. We will shred the hirers information 3 months after the hire should no fines or costs be outstanding.

 

Mileage Limit

A mileage limit is applicable when hiring the campervan as below:

  • 150 miles per day – daily mileage allowance of 150 miles per nights booking (e.g 7 nights hire will allow you 1’050 miles)
  • 20 pence per mile – charge for miles in excess of the total allowance for the booked period
  • The Mileage will be checked upon the campervan departing and returning. Hirer is responsible for checking and confirming the correct mileage is recorded by Rambling Van.

Taking the camper abroad

If you intend to take the camper to Europe 2 documents must be carried in the vehicle.

a vehicle on hire certificate a (VE103) must be carried in the camper. They can be purchased from RAC for £8 each.  https://www.rac.co.uk/drive/travel/driving-abroad/vehicle-on-hire/. The request can only be made by you the customer and we will provide you with the letter of authority need for the application. Please allow time to acquire these forms. We cannot let the camper go without these documents and you may forfeit your hire fee if it’s not been obtained before the day of hire.

 

EU Insurance

EU Insurance can be provided on request for an extra cost of £5 per night. The hirer must inform Rambling Van of plans to visit Europe. The hirer a VOH certificate. Rambling Van will not be held responsible for any delays in obtaining this document. EU travel must not be undertaken without this document.

 

 

A vehicle on hire certificate - If you are taking the camper to Europe, you’ll need a vehicle on hire certificate (VE103R). They can be purchased from RAC for £8 each. You will need to apply for this personally.  We can provide you with a letter of authority and all the necessary vehicle details required on the application form.
Please note
This agreement shall be governed by English Law. This agreement constitutes the entire agreement of the parties and there are no other oral undertakings, warranties or agreements between the parties relating to the subject matter of this agreement. Rambling Van reserves the right to add or amend any rental charges without prior notice.

 

Except where otherwise stated the following words have the following meanings in this Agreement:


“The Campervan” – This means the T5 VW Campervan or the Citroën Relay Campervan

 including all tyres, accessories and equipment.


”You” – The person or persons signing the rental agreement


“The Agreement”, “The Rental Agreement” and “Terms and Conditions” – This agreement and any document expressly referred to in this agreement including an insurance document and motor rental agreement


“Booking deposit” – sum of either £100 or 20% of the hire price- whichever is the greater amount

 

 “Damage deposit”- This refers to the £500 refundable damage deposit that will be returned in full within 7 days of the return of the campervan when returned in the same condition it went out.


“We / us” – Rambling van camper hire.

 

“Drivers /Hirers” The persons signing the rental agreement

 

“Collection/drop off point” This refers to our house at 97 Stonebridge Park, BS5 6RN
